Giraffe Media is seeking a dynamic Corporate Assistant to join our team in West Palm Beach, FL. This role is pivotal in providing comprehensive support to both team members and leadership, ensuring smooth operations across our organization.

Essential Functions: 


The Corporate Assistant will have several key responsibilities in the fulfillment of their duties including:

  • Provide executive assistance to the CEO including oversight of daily calendar, travel arrangements, and other tasks with the highest degree of detail, confidentiality and care.
  • Assists Office Manager with overseeing virtual offices including paying rent, tracking of mail forwarding services and establishing new office locations as needed.
  • Prepare reports, contracts, and memos.
  • Monitor office supplies and order new stationery, furniture, snacks, coffee, water, and appliances as required.
  • Coordinate maintenance with building management to keep the office clean and safe.
  • Maintain office aquariums and water office plants.
  • Office errands such as post office, FedEx, or UPS, etc.
  • Reception duties with a multi-line telephone system
  • Greet visitors, offer refreshments, and alert appropriate co-workers of their arrival.
  • Clean, stock and maintain general areas.
  • Support colleagues and complete various administrative tasks.
  • Daily/ Weekly review of all incoming calls and Emails (Kall8).
  • Collaborate with human resources to plan community engagement and employee recognition events and activities.


Experience and Qualifications:

The ideal candidate will have the following experience:


  • Proven ability to provide effective executive assistance within a charged work environment.
  • Experience handling the pressures of tight deadlines in a high-speed corporate atmosphere.
  • Intuitive individual with the ability to anticipate potential issues and provide coordinated solutions with minimal oversight or direction.
  • A proactive individual with a track record of successfully learning from and applying constructive feedback.
  • 2+ years of proven Corporate Assistant experience.
  • Background in rapidly changing travel and event planning preferred.
  • High proficiency in technology and Microsoft applications.
  • Ability to prioritize projects and deadline driven.
  • Strong problem-solving skills.
  • Excellent written and verbal communication skills.
  • Great team player.
  • Organization and time management skills.
  • Self-motivated: focus on continual improvement; forward-thinking planner.
  • Must have access to reliable transportation.


Education and Training


The Corporate Assistant will have an associate degree in business management, Human Resources, or a similar field. Bachelor’s degree in business management, Human Resources, or similar field preferred.
