About the Role:

Job Summary

Coordinates daily staffing for the organization as directed. Processes patient classification; distributes reports; maintains appropriate records. Performs schedule integrity reviews to ensure balanced staffing. Monitors needs for nursing areas and consults with Director/Managers to post incentive shifts. Monitors open shift management system to be sure adequate shifts are posted to meet needs. Maintains data as directed to assist with overall planning of resource management. Accepts, logs and communicates all call outs for the nursing areas. Assist with obtaining staff for needs in all areas including ER. Accurately makes changes to the schedule to reflect actual staffing. Marks OT shifts, incentive shifts and agency shifts in schedule to facilitate appropriate decision making related to staffing patient care areas.

  • Educational Requirements: High School Diploma or GED.

  • Minimum Experience: Experience in a health care setting required. Proficiency with Microsoft Office, especially Excel, Teams, and Word.

Job Specific and Unique Knowledge, Skills and Abilities
  • Good computer skills, Typing 50–60 wpm. Proficiency with Microsoft Office, especially Excel, Teams, and Word.

  • Knowledge of nursing schedules and ability to see big picture with staffing.



Essential Tasks and Responsibilities
  • Ensures that all clinical nursing units are adequately staffed by assigning available staffing resources to all care areas according to patient census and approved staffing guidelines. Creates staffing plan for all campuses (Gainesville, Braselton, Barrow, Lumpkin, and Habersham) in the organization. Areas include Med/Surg, Critical Care, Intermediate Care, Women’s/Children’s, and Emergency and Observation departments. Provides continuous monitoring of staff resources utilizing input from scheduling software, requests from individual units, and feedback from Managers/Directors, Charge Nurses, and Administrative Leadership. Monitors current shift changes. Adjust due to census, acuities, staff leaving ill, and changes in sitter needs. Communicate daily through email threads, chat threads, and phone calls to support needs of the units. Monitor nursing master schedule for balanced staffing monthly in a timely manner. Daily reviews scheduled staff and actual staff for the facility for all shifts. Reviews and monitors staffing sheets for nursing departments daily. Post any change to the schedule based on daily staffing sheets, emails, phone calls, or single zone reports. Prepares, troubleshoots, and resolves daily and future staffing and scheduling matters to maintain staffing guidelines to maximize the delivery of safe, quality care, and to minimize cost of patient care services. Daily reviews staffing sheets to verify staff for next 24 hours. Plans ahead in relation to needs for overflow units and staffing as well as staffing needs for next 24 hours. Documents on the time sheets daily: verification of the 7-3 staff, any staffing adjustments, and cancellations/additions of prn or agency staff in coordination with the Administrative Nursing Supervisor. In coordination with the Director, Clinical Resource Management and the Administrative. Nursing Supervisor or designee, cancels excess staff by: canceling agency staff per contract, canceling overtime employees and/or canceling incentivized staff, canceling PRN. Attends bed meetings daily for staffing and bedding report and monitors daily census and acuity and adjusts staffing appropriately. When staffing needs are identified, monitors the use of per diem/agency staff. Consistently keeps the Resource Pool Manager informed of staffing situation and needs. Coordinates placement staff by utilizing PRN staff, reassigning staff nurses. Monitors the usage of Agency Overtime and cancels contingent resources appropriately. Timely enters all changes to the schedule to meet the required timeline for clean data to transition to Shift Wizard, Workday and other systems. Ensures that all NGHS policies relating to attendance are enforced. Participates in interviews of prospective employees as needed.

  • Monitors number of discharges, additions/deletions to staff, and requests regarding prospective staffing for upcoming shifts. Monitors daily census and recommended staffing for projected staffing needs for the next shift and next 24 hours. Proactively posts shifts needed based on recommendations and core staffing numbers. Work collaboratively with unit leadership to obtain needed resources to meet the patient needs including, but not limited to direct care staff, non direct care staff and medical observers.



  • Monitors Shift Wizard shift bids, requests and posts/awards/inactivates shifts based on recommended staffing needs of each nursing unit. Consults with unit managers to identify critical needs and posts incentive shifts as directed by leadership

  • Plans, organizes, and prioritizes tasks and schedules to meet critical deadlines in a fast-paced environment. Reviews staffing data at the division level; shares observation with leadership staff and follows through with corrective action as directed.



  • Monitors, collects, collates and distributes other staffing statistics and data as requested to assess overall staffing needs of the nursing areas including, but not limited to Workload by unit and day of week; Call outs by unit, shift, skill and day of week; Bed turnover data by unit; Actual staffing by shift and day of week. Participated in projects related to resource management and staffing.
