POSITION OVERVIEW:
We are seeking an organized, detail-oriented, and proactive Office Manager/Personal Assistant to our CEO, support the daily operations of our office and assist the executive team when needed. This role involves overseeing office management duties while providing administrative support to executives and other team members. The ideal candidate will have strong communication skills, multitasking abilities, and a customer-service mindset.
Key Responsibilities:
Office Management:
- Manage and maintain office supplies, ensuring that necessary materials are stocked and replenished.
- Organize and coordinate office maintenance, including managing vendor relationships and handling office repairs.
- Oversee incoming and outgoing mail, deliveries, and shipments.
- Ensure the office is clean, organized, and conducive to a productive work environment.
- Manage office equipment, ensuring that printers, computers, and other technology are functional and maintained.
- Plan and organize office events, meetings, and team-building activities.
- Coordinate office moves or space redesigns as needed.
Personal Assistance:
- Provide executive-level administrative support, including calendar management, travel arrangements, and expense tracking.
- Schedule and coordinate meetings, appointments, and personal events for executives.
- Handle personal errands, including shopping, gift ordering, and other tasks as needed.
- Assist with personal scheduling and communications for executives, ensuring they remain on top of important deadlines.
- Help with the preparation of reports, presentations, and other documents.
- Manage confidential and sensitive information with discretion.
Communication & Coordination:
- Serve as a liaison between the office, external partners, and clients.
- Answer and direct phone calls, emails, and other correspondence.
- Assist in organizing meetings, conferences, and client events.
- Handle requests and inquiries from staff and executives.
Qualifications:
- Education: High School diploma required; Associate/Bachelor’s degree or related experience preferred.
- Experience: 3+ years of experience in office management, executive assistance, or a related administrative role.
Skills:
- Excellent organizational and multitasking abilities.
- Strong written and verbal communication skills.
- Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to manage time effectively and prioritize tasks.
- Strong problem-solving and critical-thinking skills.
- Discretion and confidentiality with sensitive information.
- Strong interpersonal skills and customer service orientation.
Additional Requirements:
- Ability to work independently and as part of a team.
- Flexible and adaptable in a fast-paced environment.
- Must have a proactive and positive attitude.
- Evening or weekend work may be required.
