Your New Role…
- Provides administrative support to Director, Music Production and Manager, Music Production, with a primary focus on ensuring the smooth running of on-camera musical performances, off-camera recording, and scoring work across the WBTV Scripted Live-Action Slate. Assists with paperwork, payments, fulfillment of union obligations, and key tracking/reporting routines.
- Proactively creates and maintains organizational systems, leaning into forward-looking solutions that position WBTV Music optimally for the future. Works collaboratively with team members across the Music Department, and interfaces with Executives across WBD, Show Personnel, Talent/Representatives, and 3rd party Music Production Vendors
Your Role Accountabilities…
- Distributes contracts and start paperwork to performers, music production crew, production staff, composers, music producers and/or musician/vocalist contractors for music performers and employees. Ensures that contracts and start paperwork are properly completed and fully executed. Monitors paperwork status and follow up on outstanding items. Fields inquiries regarding proper paperwork completion.
- Receives and distributes Production information amongst the Music team. Keeps abreast of key Production milestones and proactively creates/maintains streamlined organizational systems for housing relevant information. Proactively enters information such as Production and Post-Production dates into milestone tracking/calendar tools, so that executives are always working with real-time information.
- Reviews and verifies Union New Use, Re Use and Clip Use Claims and Invoices. Confirms information as claimed such as air date, episode number, master recording status, performers, etc. Verifies applicable wages and benefits. Processes claims for payment or drafts rejection notices at the direction of Music Production executives. Updates status of claims in tracking systems.
- Updates Estimated Final Cost (EFC) trackers with projected costs as instructed by executives and enters final costs when processing invoices. Handles other aspects of the invoice payment workflow such as providing billing info to vendors, collecting forms required for vendor setups, coding and submitting payments for approvals.
- Handles the submission of items to Music payroll, confirming details for paymasters and assessing the accuracy of payroll calculations (overtime, premiums, allowances, penalties, benefits, etc.) Tracks the turnaround of payroll invoices, making sure they are ingested into the 3rd party invoice payment workflow for swift payment.
- Proactively updates/maintains Main Title Music Tracker with Theme Music information as it becomes available (WFH, Licensed etc) and enters other key data points (composer details, union status, air date, number of episodes, etc.). Notifies Music Production executives when Union Reuse fees are due. Assists with the preparation of Re-use paperwork, and submit/track payments.
- Assists Music Production executives with tracking upcoming on-camera performances and off-camera recording and scoring sessions, following details from meetings, script breakdowns, calls, notes etc.
- Assists in verifying work eligibility of performers and crew, including running union clearances, and requesting/vetting relevant documentation and consulting Legal to that ensure that all relevant employment laws are adhered to (including Child Labor/Immigration Laws as applicable to the local jurisdiction).
- Generates reports of Master Recordings and Clips used during each quarter utilizing Cleartrack Software, verifying information as needed with the Music Clearance Team. Compiles data for submission to the AFM and reviews for accuracy.
- Coordinates and schedule meetings, book rooms/facilitates technology set-ups as needed. Handles external reservations, request drive-ons and ensures guests are taken care of.
- Performs other related duties and conducts special projects, including analysis and reports as assigned.
Qualifications & Experience…
Work Experience
- Previous experience at a Film/Television Studio, Production Company, Agency, or experience supporting Composers, Music Producers, Music Supervisors, Musician/Vocal Contractors or others in similar roles is highly desirable.
Education, Professional Training, Technical Training or Certification
- High School diploma or equivalent required
- College Degree (or other formal learning) in relevant subject areas preferred.
Knowledge/Skills
- Typing: 50 wpm
- Working knowledge of Microsoft Word, Excel, Outlook, Teams, Onedrive, Box, Adobe Acrobat, PowerPoint, Canva and other similar applications is essential.
- Knowledge/experience with Smartsheet, Airtable or other Project Management/Task Management tools is strongly desirable.
- Must have excellent Mathematical skills – ability to run calculations, scrutinize numbers and accurately record financial data is essential.
- Problem solving and critical thinking skills are required.
- Must be able to prioritize and multi-task, while paying close attention to detail and ensuring follow through
- Must be well organized, and display a proactive approach to individual work and teamwork.
- Must be able to communicate effectively and tactfully with internal and external stakeholders and remain composed under pressure/work under constant deadlines.
- Must be able to handle confidential information.
- Must be able to take direction and feedback.
Other Requirements
- A passion for Scoring and other types of on/off camera Music Production is essential.
- A love of Scripted Television is a must.
- Self-Starter qualities, and a collaborative, forward-looking mindset are required.
- Management has the right to add or change duties and job requirements at any time.

Actual salaries will vary based on several factors, including but not limited to external market data, internal equity, location, skill set, experience, and/or performance. Base pay is just one component of Warner Bros. Discovery’s total compensation package for employees. Pay Range: $42,078.00 – $78,146.00 salary per year. Other rewards may include annual bonuses, short- and long-term incentives, and program-specific awards. In addition, Warner Bros. Discovery provides a variety of benefits to employees, including health insurance coverage, an employee wellness program, life and disability insurance, a retirement savings plan, paid holidays and sick time and vacation.
