Job Summary
This is a position within the Department of Surgery which plays a critical role in providing high quality administrative support to Faculty, Residents, and staff in the Oral Maxillofacial Surgery Section. The Administrative Assistant performs advanced, diversified, and confidential secretarial and administrative duties according to the organization’s policies and practices. Prepares and submits travel, hosting and tuition support requests. Completes projects, office work, and other duties as assigned.
Under FLSA, incumbents in this position are nonexempt.

Responsibilities*
- Exercises considerable discretion and good judgement to support Faculty, Residents, Students, Staff, and Interns/Externs
- Prepare and manage schedules, calendars, and rotations
- Licensure maintenance
- Scrubs and lab coat ordering and maintenance
- Process reimbursements
- Prepares and submits travel, hosting, and tuition support requests.
- Order and maintain office supplies to support the administration of the section.
- Manage invoices for dental laboratory services.
- Provide exceptional customer service.
- Cultivate an atmosphere of respect, courtesy and teamwork in speech, manner, and tone.
- Other duties as assigned.
Required Qualifications*
- Minimum of 4 years relevant business office experience in an administrative capacity is required.
- Must be detail oriented and organized with demonstrated ability to prioritize and multi-task.
- Strong administrative assistant skills and be proficient in advanced Microsoft Word, Excel and Power Point.
- Must have the ability to compose and produce professional correspondence.
- Candidate must be able to schedule appointments using standard e-mail software.
- Must demonstrate excellent verbal and written communication skills.
- Must be able to exercise considerable discretion and independent judgment.
- Capable of analyzing complex information requests and determining complex trends.
- Demonstrated customer-focused interpersonal skills.
- Ability to perform within a team setting with a strong willingness to support co-workers and staff.
- Demonstrated positive work ethic and strong sense of teamwork/problem solving with co-workers.
Desired Qualifications*
- Considerable experience in performing responsible administrative assistant duties or an equivalent combination of education and experience.
- Broad comprehensive experience, skill and knowledge of organization’s policies and practices.
- Strong working knowledge and experience with MS Office 365 applications.

Background Screening
Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.
