Job Summary

The School of Nursing is seeking an Assistant to the Dean who will provide high-level administrative support to the Dean and other leadership of the school. This role will support the SON’s strategic initiatives, mission, vision, and values.



This position reports directly to the Dean of the School of Nursing.

Responsibilities*


Administrative Support

  • Schedule and maintain the Dean’s calendar and the SON Master Calendar
  • Schedule and prepare meeting agendas; and make and communicate meeting arrangements;
  • Oversee and coordinate administrative and office activities, with a focus on office procedures and systems, function and efficiency;
  • Provide customer service to students, faculty and staff related to SON policies and procedures and student resources
  • Coordinate SON communications
  • Create, organize, and maintain an electronic filing system for all pertinent date/information related to administration, faculty, and staff
  • Collaborate with University leadership and staff on meetings and events
  • Gather and enter data for the preparation of various reports or documents
  • Provide support to the Executive Committee, Full Faculty Committee, SON Advisory Board, Academic Program Directors Meetings with the Dean, and Staff Huddle.

SON Commencement & Special Projects


  • Support commencement ceremony activities
  • Special Projects as assigned

Purchasing and Travel Arrangements

  • Purchases supplies and maintains inventory
  • Provide travel and conference arrangements for Dean and SON leadership

Support Promotion & Tenure Faculty Process


  • Coordinate all aspects of faculty personnel actions, to include reappointment, tenure and promotion reviews, sabbatical requests, coordinating with the faculty review committee, executive committee, and Provosts office
  • Assist Dean with faculty appointments, annual evaluations, tenure, promotion, and post tenure reviews
  • Other duties as assigned

Required Qualifications*

  • Bachelor’s degree or equivalent combination of education and/or related work experience
  • 3 or more of years of executive-level administrative support experience
  • Experience using office equipment, technology and software
  • Experience handling confidential information

Hybrid:

The work requirements allow both onsite and offsite work and an employee has an expected recurring onsite presence. On occasion, the employee may be required and must be available to work onsite more frequently if necessitated by unit leadership or their designee and/or the job requirements.
