ABOUT THE ROLE:

The Catering & Conference Services Coordinator supports the Catering and Conference Services team by providing essential administrative assistance with contracts, Banquet Event Orders (BEOs), and general office administration. We are seeking individuals who demonstrate a high level of professionalism and integrity while maintaining confidentiality. Proficiency in all Microsoft Office applications is required, and familiarity with Delphi is preferred. Candidates must possess great attention to detail and the ability to multitask in a fast-paced environment. A positive attitude and a can-do approach to tasks are essential!



ESSENTIAL RESPONSIBILITIES:

• Provide support to Catering Managers, Conference Services Managers, and Directors of Catering, while understanding all aspects of the catering planning process for both corporate and social events.


• Establish and maintain effective working relationships within the department and with other hotel departments.

• Receive and respond to incoming telephone calls according to Four Seasons standards, and assist with overflow calls for Sales & Marketing.


• Qualify and assign leads received via telephone, meeting-broker, e-mails, and record lead details in Golden Sales & Catering.

• Assist with all administrative duties, including accurate written correspondence such as daily, weekly, and monthly reports, vendor orders for upcoming events, menu and label printing, catering promotional materials, menu updates, and competitive pricing analysis.


• Maintain Golden Sales and Catering accounts, including managing traces, creating and updating bookings, creating and uploading contracts, adjusting events in the function diary, and preparing Banquet Event Orders.

• Distribute Catering correspondence to hotel operating departments as required, including daily emails, reports, amenity cards, thank-you cards, resumes, and Banquet Event Orders.


• Maintain electronic and paper-filing systems, including account files, a program evaluation database, and Master binders for Banquet Event Orders and Group Resumes.

• Conduct general property site visits.


• Assist with internal events through the People & Culture department – detailed BEOs and Floorplans.

NON-ESSENTIAL FUNCTIONS:


• Occasionally assist with front-of-house operations, including greeting and directing guests, operating hospitality desks, and working with Banquets on setup or teardowns.

• Perform other tasks or projects as assigned by hotel management.


• Maintain an inventory of all standard department supplies and printed materials.

• In the absence of Catering or Conference Services Management, assist clients and seek solutions to requests in a friendly, caring, and helpful manner.


• Participate in scheduled departmental and coordinator meetings as requested.

KNOWLEDGE AND SKILLS:


• Education: College education preferred

• Experience: Previous coordinator, hotel, and/or related experience required.

$30.88
