The Mass General Brigham Medical Group is a system-led operating entity formed by Mass General Brigham to deliver high quality, low cost, innovative community-based ambulatory care. We are seeking a full time 40-hour Document Management Clerk to support our Haverhill location! The office hours are 8:30am to 5:00pm, so the schedules are staggered accordingly.
Job Summary
Summary
Responsible for organizing, retrieving, and maintaining physical and electronic documents, ensuring efficient record-keeping and facilitating timely access to patient information. Also collaborates with various departments and staff members to support the smooth flow of documentation within the hospital.

Essential Functions
-Sort, categorize, and organize physical documents such as medical records, reports, forms, and correspondence.
-Create and maintain an efficient filing system for easy retrieval of documents, ensuring adherence to departmental and regulatory guidelines.
-Respond to requests from healthcare providers, clinicians, and other authorized personnel for patient records and other relevant documents.
-Retrieve requested documents promptly and accurately, ensuring proper authorization and adherence to privacy and security regulations.
-Update and maintain document tracking logs, databases, and electronic systems to reflect the current status and location of documents.
-Monitor and ensure the integrity, confidentiality, and security of patient information during document handling and storage.
-Assist in the scanning and conversion of physical documents into electronic format using document imaging equipment and software.
Qualifications
Education
High School Diploma or Equivalent required or Associate’s Degree Health Information Management preferred

Records Management Experience 1-2 years preferred
Knowledge, Skills and Abilities
– In-depth knowledge of health information management principles, HIPAA regulations, and electronic health record systems.
– Strong attention to detail and ability to handle large volumes of documents accurately and efficiently.
– Excellent organizational, communication, and problem-solving skills.
– Ability to work independently and collaboratively in a fast-paced environment.
– Proficiency in using advanced document imaging technologies, scanners, software applications, and electronic databases.
