At Nue.io, we’re on a mission to revolutionize revenue operations for modern businesses. As a growing startup, we’re looking for an experienced and proactive Executive Assistant & Office Manager to support the Chief Operating Officer (COO) of Nue.io. Based in our Bogotá, Colombia office, this role is pivotal in enhancing the COO’s productivity and ensuring smooth operations across the company. The ideal candidate is a highly organized, autonomous professional who can prepare executive summaries and actionable follow-ups from meetings, coordinate cross-team project workflows, and track strategic priorities to completion – all while minimizing the need for micromanagement.
In addition to providing high-level executive support, this person will manage day-to-day office operations (approximately 10–15% of the role) for our Bogotá location, ensuring a productive and well-run office environment. This is a critical position that requires excellent communication skills, emotional intelligence, and the ability to handle a dynamic, fast-paced environment with confidence.
Responsibilities
Executive Support & Coordination (Primary Focus)

Meeting Follow-Up: Prepare executive summaries and clear action item lists from the COO’s meetings and strategy sessions, ensuring follow-ups are documented and responsibilities are assigned.

Project Coordination: Organize and coordinate project workflows and deadlines across teams, helping to keep initiatives on track and stakeholders accountable.

Strategic Priorities Tracking: Monitor the COO’s strategic priorities and key projects (e.g., OKRs), proactively following up on progress so that tasks are completed without the need for micromanagement.

Calendar Management: Manage the COO’s calendar and schedule with precision – prioritizing critical meetings, resolving scheduling conflicts, and ensuring optimal time management for high-value activities.

Communication Liaison: Act as a liaison on behalf of the COO in communications. Handle incoming correspondence and email, draft responses or meeting notes, and facilitate effective communication between the COO and internal teams or external partners.

Travel & Expenses: Arrange complex travel itineraries and logistics for the COO (flights, accommodations, meetings) and manage expense reporting through Concur, ensuring timely and accurate reimbursement with proper record-keeping.

Document & Presentation Prep: Support the COO in preparing presentations, reports, and briefing materials (using Google Slides, Docs, etc.), distilling key information and data for executive decision-making.

Ad Hoc Support: Assist with special projects, research, and administrative tasks as assigned by the COO – demonstrating initiative and problem-solving to tackle new challenges independently.
Office Management (Bogotá Office ~10–15% of Role)

Office Operations: Oversee the day-to-day operations of Nue.io’s Bogotá office to maintain a productive, well-equipped, and positive work environment.

Vendor Management: Manage relationships with local office vendors and service providers (e.g., office supplies, equipment, cleaning services, catering), handling procurement, negotiating contracts, and resolving any facility-related issues promptly.

Facilities & Supplies: Ensure the office remains fully functional and organized by tracking inventory of supplies and equipment, and placing orders or maintenance requests proactively before needs become urgent.

Event Coordination: Plan and coordinate local team events, meetings, and office celebrations in Bogotá, handling logistics such as venue bookings, catering, and schedules to foster team morale and collaboration.

On-Site Point of Contact: Serve as the on-site point of contact for any office-related inquiries or emergencies. Liaise with building management on facilities issues, manage incoming/outgoing mail, and uphold health, safety, and security protocols within the office.
What We’re Looking For:

Experience & Background: You have at least 5 years of experience as an Executive Assistant, Senior Administrative Assistant, or similar role supporting senior executives (C-level preferred), ideally in a high-growth SaaS or technology startup environment.

Organizational Excellence: You possess outstanding organizational and time management skills. You can multitask and prioritize effectively, managing multiple projects and deadlines in a fast-paced environment.

Proactive & Autonomous: You are a self-starter with a strong sense of initiative and a bias for action. You anticipate needs and independently drive tasks to completion without requiring close supervision.

Communication Skills: You have excellent written and verbal communication skills. You are able to craft clear emails, reports, and presentations, and you communicate professionally with both internal stakeholders and external partners. (Fluency in English is required; proficiency in Spanish is a strong plus.)

Interpersonal & EQ: You demonstrate high emotional intelligence, with the ability to build positive relationships and handle interactions with tact and professionalism. You work well with a diverse range of personalities and can navigate sensitive situations discreetly.

Technical Proficiency: You are comfortable using modern office and productivity tools — including Slack (team communication), Zoom (video conferencing), Google Workspace (Docs, Sheets, Slides, Calendar), Notion (project management/documentation), Salesforce (CRM), and Concur (expense reporting), or similar systems.

Problem Solving: You have strong analytical and problem-solving skills, with a resourceful approach to overcoming obstacles. You proactively address issues and seek out improvements to streamline processes.

Education: You hold a bachelor’s degree in Business Administration, Communications, or a related field (preferred), or have equivalent professional experience demonstrating your capacity to perform the role.

Location: Bogotá, Colombia. This role is based in our Bogotá office and will require working on-site to effectively manage office operations. Some flexibility for remote work may be available as needed, but regular in-person presence is important for this position.
