What You’ll Do

Administrative Support


  • Serve as a key support partner for the General Manager (GM) and leadership team to ensure seamless operations.
  • Assist in follow-ups to ensure deadlines are met for all assigned tasks and projects.
  • Prepare various documents, including menus, marketing content, promotional materials, and operational communications.
  • Maintain accurate records, such as colleague incentive trackers, community impact trackers, Forbes energizer tracking, RMI (Revenue Management Insights) reporting, and office supply orders.

Operational Coordination

  • Monitor and respond to the VIP Zingle line and handle VIP/owner/corporate reservations, itineraries, cards, and amenities.
  • Coordinate logistics for departmental meetings, including reserving meeting rooms and taking minutes for operations and morning meetings.
  • Ensure the accuracy of information on QR code sites and assist with weekly updates to the hours of operation.
  • Support operational requests, including creating simple promotional materials in Canva for last-minute needs.

Communication & Community Engagement


  • Draft and send communications, such as departure emails, guest notifications for fire alarm testing, window washing, closures, and other updates.
  • Monitor and track colleague recognitions for HySat, Gift of Gratitude cards, and name mentions for the colleague incentive program.
  • Maintain records of community impact and charity initiatives.

Additional Responsibilities

  • Coordinate ski pass distribution during the winter season.
  • Assist the GM in preparing the Monthly Communication Presentation.
  • Handle filing, traces, and any other administrative requests from the leadership team.


Qualifications

What You’ll Need

  • A genuine desire to satisfy the needs of others in a fast-paced, dynamic environment.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities with meticulous attention to detail.
  • Proficiency in standard office software, including Microsoft Office Suite, and the ability to learn additional tools (e.g., Canva).
  • The ability to work Monday to Friday, 8:00 AM to 4:00 PM, with flexibility to meet business needs.
