Overview
Since 1972, Covenant House has served and advocated for youth and young families experiencing homelessness, human trafficking, and exploitation. Our overarching goal is to end homelessness among youth and young families by helping them achieve housing stability, heal from trauma, tap into their innate resilience, and hone their interests and skills to forge new pathways to independence. This work is carried out across Covenant House sites in 34 cities in the US, Canada, Mexico, Guatemala, and Honduras.
Primary Function of Position
The Project Manager, Operations reports to the Chief Operating Officer/Chief Legal Officer (COO/CLO) and plays a key role in supporting the Operations function, including People and Culture, Information Technology, Real Estate Development, Facilities, and the Legal department. You will support the COO/CLO in the performance of their duties which includes coordinating recurring cross-functional meetings and project managing action items, ad-hoc research projects, slide deck building, and dashboard reporting among other projects assigned by the COO/CLO. The successful candidate will assist in the management, alignment, organization, and implementation of our agency’s operations and legal functions.
Essential Duties and Responsibilities
- Assist in the assessment, coordination, and prioritization of projects, tasks, issues, and inquiries directed to the COO/CLO, ensuring timely resolution and effective delegation by acting as a key point of contact to streamline communication, escalate critical matters, and facilitate informed decision-making
- Take a proactive approach to problem-solving by conducting research, analyzing issues and identifying key insights, clearly summarizing and communicating findings to help develop comprehensive plans, policies, procedures, process improvements, guidelines, and templates that support the Operations and Legal functions, ensuring all documents align with industry best practices, regulatory requirements, and organizational objectives
- Develop strategic plans with clear objectives, actionable steps, and defined timelines to drive execution through project completion
- Work collaboratively to design, document, and maintain efficient systems that support operational effectiveness
- Lead and facilitate cross-departmental meetings, fostering collaboration and incorporating feedback from stakeholders across the agency by actively facilitating discussions, clarifying objectives, and addressing potential gaps
- Participate in internal and external training sessions to enhance knowledge, develop skills, and stay current with industry trends and best practices relevant to the role
- Manage tasks associated with hosting department functions, conducting new hire orientations, and coordinating department learning opportunities
- Oversee additional projects and handle other relevant administrative tasks as directed by the COO/CLO
Here’s a sample of projects you may be involved in:
- Project Management: Collaborate with CHI colleagues from the Operations and Legal departments to leverage CHI’s project management software for creating, updating, maintaining, and reporting on project plans for various initiatives.
- Critical Meeting Coordination: Coordinate and facilitate critical meetings such as the full Board of Directors and the Executive Committee meetings and the Risk Mitigation Committee Meetings. Tasks include scheduling, liaising with hosts sites, preparing presentation decks and materials, and managing the Covenant House Board of Directors online platform.
- Operational Dashboards: Coordinate the production of monthly operational data dashboards, showcasing performance in areas such as People & Culture, Information Technology, Legal, and Real Estate.
- Information Technology Governance: Facilitate regular meetings for the Covenant House International and Covenant House federation IT governance committees, focusing on identifying, prioritizing, and overseeing IT projects within CHI and the federation.
Required Knowledge, Skills and Abilities
- Exceptionally detail-oriented
- Strong knowledge of Microsoft 365, Asana, and other relevant systems
- Excellent verbal and written communication skills
- Ability to work with multiple deadlines and all levels of management
- Knowledge of principles and practices of project management and process improvement
- Competence with computer technology that aids in the use of software tools
- Occasional travel (
- Must be passionate about and dedicated to the mission of Covenant House
Required Qualifications
- 1-3 years of related experience in project management or similar operations focused roles
Preferred Knowledge, Skills, Abilities and Qualifications
- Knowledge of design and video editing software (i.e., Canva)
- Bilingual in Spanish with strong written and verbal communication
